Terms for clinic-controlled email automation and campaigns.

These terms apply when a clinic or clinic user uses MyHealthFollowup to import email templates, connect Cliniko or Calendly, send appointment-related automations, and prepare one-off patient campaigns. Clinics remain responsible for their template content, sender details, recipients, patient communication permissions, campaign content, and automation rules.

MyHealthFollowup is the registered Australian business name MYHEALTHFOLLOWUP, operated by William Douglas Lake, ABN 72 581 872 067.

Service

MyHealthFollowup provides template import, preview, test-send, automation, campaign-audience, consent-recording, scheduling, and delivery visibility tools for connected clinic email workflows.

Clinic Responsibility

The clinic controls the template content, automation rules, campaign audience, recipient eligibility, consent basis, clinical appropriateness, and sender details. MyHealthFollowup is not a clinical decision-making system.

Third-Party Services

The product depends on third-party services such as Cliniko, Calendly, Clerk, Stripe, AWS, and email delivery infrastructure. Their availability, policies, and data handling can affect the service.

No Urgent Care Channel

MyHealthFollowup is not for emergency, urgent, or time-critical clinical communication. Clinics should keep their usual direct patient-care channels available.

Subscriptions And Trial

The current offer is a 30-day free trial followed by a monthly subscription based on active practitioner or host bands, starting at $8 AUD per month for one active team member, unless a different written agreement applies. Campaign recipient and frequency limits may be lower during the trial. Payment processing is handled by Stripe.

Billing Changes And Cancellation

A clinic owner or authorised admin can use the billing portal, or contact support, to update billing details or cancel. Failed, overdue, cancelled, or incomplete payment states may limit scheduling and sending while preserving clinic setup data where practical.

Prices And Taxes

Published prices are in Australian dollars unless stated otherwise. Taxes may apply where required. Stripe and card issuers may also apply their own payment terms outside MyHealthFollowup.

Plan Fit

The plan can be selected from the active practitioner or host count available from the connected booking platform. If that count changes materially, the clinic may need to move to the matching plan or a custom written agreement.

Clinic Responsibilities

Email automation and campaigns can contact patients at scale. Before sending, clinics should confirm that the content, timing, audience, sender identity, consent, and patient preferences are appropriate.

Keep booking-platform credentials and account access controlled by authorised clinic staff.
Only send emails where the clinic has the right patient relationship, consent, preference setting, and clinical context to do so.
Use Campaigns only for recipients the clinic is permitted to contact, and review the audience and consent status before every send.
Only enable an automatic Calendly audience rule for event types whose booking forms clearly ask invitees for campaign email permission.
Review imported HTML, merge fields, test sends, and automation rules before enabling them.
Maintain accurate sender, reply-to, booking, website, phone, and clinic profile details.
Monitor scheduled messages and delivery events for skipped, failed, or cancelled sends.
Include unsubscribe or preference-management wording where a message is commercial or otherwise requires it.

Acceptable Use

MyHealthFollowup is for relationship-based clinic communication, not cold outreach, purchased lists, or unrelated list marketing.

Do not use the product for purchased, scraped, rented, harvested, or unrelated recipient lists.
Do not send unlawful, misleading, abusive, spammy, deceptive, or unrelated marketing content.
Do not import malicious HTML, scripts, forms, executable content, deceptive links, or unauthorised tracking.
Do not attempt to bypass tenant boundaries, billing controls, rate limits, authentication, or security checks.

Availability

The service may be unavailable during maintenance, provider outages, booking-platform or API interruptions, internet or DNS issues, deliverability events, billing-provider interruptions, or incidents.

Campaign Safeguards

Campaign frequency, recipient, daily-volume, consent, suppression, and confirmation controls may be applied to protect patients, clinics, deliverability, and platform reputation. We may pause or restrict Campaigns where activity creates a reasonable abuse, complaint, legal, or deliverability risk.

Data And Security

Clinics must use appropriate account access controls. We may suspend access to protect patient data, prevent abuse, respond to legal obligations, investigate deliverability risk, or preserve platform stability. The Privacy Policy explains how personal information is handled.

Consumer Guarantees

Nothing in these terms excludes, restricts, or modifies any consumer guarantee, right, or remedy that cannot lawfully be excluded under the Australian Consumer Law or another applicable law.

Limitations

To the maximum extent permitted by law, MyHealthFollowup is provided without guarantees of uninterrupted delivery, third-party availability, or suitability for every clinic workflow.

Changes

We may update these terms as the product, pricing, providers, or legal requirements change. Material changes will be communicated in a reasonable way, such as through the website, dashboard, or email.
